Coming Soon: Meeting Summary and Smart Recording Options available with Zoom!

Zoom logoWhen we return from the Holiday Break, you will have the option to turn on/off “Meeting Summary with AI Companion” and “Smart Recording with AI Companion” in all of your SFSC Zoom meetings. This option has been elected for the College, however be sure to toggle to enable for your meetings and disable for your courses.

Meeting Summary with AI Companion

This feature uses AI technology, which may include third-party models, and allows meeting hosts to initiate an AI-generated meeting summary. The summary will be automatically sent after the meeting has ended.

Limitations of Meeting Summary with AI Companion

  • Only the meeting host and co-host can start or stop the meeting summary through the in-meeting controls.
  • Meeting summarization begins when the host clicks Start Summary, or when the host has enabled the web setting to automatically start Meeting summary.
  • Use of Meeting Summary with AI Companion is not available in all countries.

How to enable or disable Meeting Summary:

User: (To enable the Meeting Summary with AI Companion for your own use)

  1. Sign in to the Zoom web portal.
  2. Click Settings.
  3. Click the AI Companion tab.
  4. Under Meeting, click the Meeting Summary with AI Companion toggle to enable or disable it.
  5. If a verification dialog displays, click Enable or Disable to verify the change.
  6. Under the Share summary with section, select Only me (meeting host)Only myself (meeting host) and meeting invitees in our organization, or All meeting invitees including those outside of our organization.
  7. Click Save.
Note: Meeting invitees only includes participants that were originally invited to the meeting, as participants joining the meeting ad hoc (through the in-meeting contact invitation or a sharing the join link) will not receive the summary.


Note on Data Usage

Zoom does not use any customer audio, video, chat, screen sharing, attachments, or other communications-like content (such as poll results, whiteboard, and reactions) to train Zoom or third-party AI models.

Zoom evaluates and updates their models periodically and those used to support Zoom AI Companion may change from time to time. For features in AI Companion that use third-party AI model providers, they will share relevant data with those third-parties when you use the feature. For example, if you use meeting summary to create an AI-generated summary, the meeting transcript will be sent to the relevant model to provide the service. Data may be processed within U.S.-based data centers.

Smart Recording with AI Companion

Smart Recording brings the power of Zoom AI Companion to cloud recordings, allowing hosts to get more out of their Zoom Meetings and Webinars. Smart Recording uses AI technology, which may include third-party models, to automatically divide cloud recordings into smart chapters for easy review, highlight important information, create next steps for attendees to take action, and even provide the host with analytics on key meeting and conversation factors, including talk speed, talk-listen ratio, longest spiel (or monologue), filler word usage, and patience.

Important Information: This option is to be utilized for meetings only. Due to student privacy issues, this feature is not to be active in your courses.

User: (To enable Smart Recording for your own use)

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Settings.
  3. Click the AI Companion tab.
  4. Under Recording, select the Smart Recording with AI Companion toggle
  5. (Optional) Select or clear any of the following check boxes as desired.
  6. Click Save.
  • Create recording highlights: Zoom will automatically highlight the most important parts of the recording. Hosts can adjust the highlights as needed and share the video summary with users.
  • Create smart chapters: Zoom will automatically group sections of the recording into chapters with an overview. Hosts can edit the chapters manually.
  • Create next steps: Zoom will automatically summarize any actions to take after the recorded session. Hosts can edit the next steps manually.
  • Meeting coaching: Zoom will provide additional analytics on key meeting and conversation factors, including talk speed, talk-listen ratio, longest spiel (or monologue), filler word usage, and patience. 
Note: If you clear all the check boxes, Smart Recording will be disabled.
